Call-Off Tender Support

What is a Call off?

A call-off is an individual contract opportunity issued to approved suppliers already on a Dynamic Purchasing System (DPS) or Framework.

When a commissioner needs to source a service, they issue a call-off to the relevant suppliers on their approved list. Each provider then has a set period — sometimes as little as 24 hours to a few days — to submit a competitive response.

Mini-competitions work in the same way but are typically used within Framework agreements, where two or more suppliers are invited to compete for a specific contract.

What happens once you’re invited to a mini -competition?

1

You receive an invitation to respond

Once on an approved list, commissioners will send you individual call-offs when a relevant contract opportunity arises. Not every supplier on the list will be invited to every call-off.

2

Deadlines are tight — sometimes 24 hours

Call-offs are time-limited. Response windows can be very short, which is why having your evidence, policies and service information ready in advance makes a significant difference.

3

We manage the full response on your behalf

We draft, review and submit your call-off response — working to your deadline, drawing on your service information, and ensuring your submission is compliant and competitive.

Submitted your call-off? Stay ready for clarification questions.

After submission, buyers may request clarifications with very little notice. Our Aftercare support helps you respond clearly, protect the quality of your bid, and stay prepared through to the final outcome.

Fees: Our fees are scoped individually based on the nature and complexity of each submission. Pricing is provided following an initial consultation.

FAQs

We typically turn around call-off responses within 24 to 48 hours. Short deadlines are not a problem — we are set up to work at pace and can accommodate call-offs with very tight response windows, including those with less than 24 hours notice.

Once you share the call-off with us, we will send you a form to upload the documents required for that specific response. We will also schedule a service review call to gather any additional information we need to write an accurate, evidence-based submission on your behalf.

Call-offs are charged at a fixed fee, which we confirm after reviewing the specific call-off documentation. We will provide a clear quote before any work begins so there are no surprises.

Short deadlines are something we handle regularly. We can work with call-offs that have 24 hours or less to respond — get in touch as soon as the call-off lands with you, and we will move quickly.

Yes — call-offs are only issued to providers who are already on an approved DPS or Framework. If you are not yet on one, we can help with that too. Find out more about what a DPS is and how to join one.
